Customers and Authorized Users submit Customer Data to the Platform or Services. Where AISense collects or processes Customer Data, it does so on behalf of the Customer.
In addition, we may collect information that can identify you (“Personal Information”), such as your name and contact information (email, address and phone number). We also may collect device-specific information (such as your hardware model, operating system version, unique device identifiers, and mobile network information including phone number). We may associate your device identifiers or phone number with your Account. Depending on the nature of your inquiry or activities on the Platform or Services, we may also ask for other information relevant to your use of the Platform or Services.
We also may collect other types of information in the following ways when you visit our Platform or Services:
Billing address and credit card information.
Details of how you used our service, such as your search queries.
Log information like your phone number, calling-party number, forwarding numbers, time and date of calls, duration of calls, SMS routing information and types of calls.
Device event information such as crashes, system activity, hardware settings, browser type, browser language, the date and time of your request and referral URL.
Our server logs automatically collect information, such as your IP address, your browser type and language, and the date and time of your visit, which helps us track Authorized Users’ movements around our Platform and Services and understand trends.
We may assign your computer one or more cookies which may collect information to facilitate access to our Platform and Services and to personalize your online experience.
We may use standard Internet tools, such as web beacons, which collect information that tracks your use of our Platform and Services and enables us to customize our services.
We use third-party analytics tools, such as Amplitude, or Google Analytics, to collect and analyze certain user information and behavior. We use this information for internal business purposes on an aggregated, anonymous basis.
Cookies are small text files sent by us to your computer and from your computer or mobile device to us each time you visit our website or use our desktop application. They are unique to your account or your browser. Session-based cookies last only while your browser is open and are automatically deleted when you close your browser. Persistent cookies last until you or your browser delete them or until they expire.
Some cookies are associated with your account and personal information in order to remember that you are logged in and which teams you are logged into. Other cookies are not tied to your account but are unique and allow us to carry out site analytics and customization, among other similar things. If you access the Services through your browser, you can manage your cookie settings there but if you disable some or all cookies you may not be able to use the Services.
We set and access our own cookies on the domains operated by AISense and its corporate affiliates. In addition, we use third parties like Google Analytics for website analytics. You may opt-out of third-party cookies from Google Analytics on its website. We do not currently recognize or respond to browser-initiated Do Not Track signals as there is no consistent industry standard for compliance.
We use Personal Information and Customer Data collected through the Platform and Services as reasonably necessary and in accordance with Customer’s instructions to (a) provide, maintain and improve the Platform and Services; (b) to prevent or address service, security, technical issues or at a Customer’s request in connection with customer support matters; © as required by law; or (d) as set forth in our Agreement with the Customer or as expressly permitted in writing by the Customer. We may also from time to time use your Personal Information to send you automated email messages or marketing materials regarding our Platform or Services.
We also may use information to:
Improve and customize services;
Send newsletters to our users and make special offers;
Offer products and services from AISense that may be of interest to you;
Process payment for products or services you order via our Platform and Services;
Customize the content that you see on our Platform and Services;
Facilitate use of our Platform and Services;
Manage your account and your preferences;
Analyze use of and improve our Platform and Services;
Identify and protect against fraudulent transactions and other misuses of our Platform and Services; and
Enforce our Terms.
This policy is not intended to place any limits on what we do with data that is aggregated and/or de-identified so it is no longer associated with an identifiable user or Customer of the Platform and Services.
We will not share Personal Information or Customer Data with others except as Customer requests per written instructions or through the Platform or Services, or as indicated herein, or except when we inform you in advance and give you the opportunity to opt out. We may share aggregated, anonymous information in any of the above situations and also with others for our own marketing purposes and for purposes of improving the manner in which, and to whom, we offer our services.
We may also share Personal Information or Customer Data as necessary to comply with legal or regulatory requirements and to respond to lawful requests, court orders and legal process, as well as, to protect and defend the rights, property, or safety of us or third parties, including enforcing contracts or policies, or in connection with investigating and preventing fraud.
Customer provides us with instructions on what to do with Customer Data. A Customer has many choices and control over Customer Data. For example, Customer may provision or deprovision access to the Platform or Services, enable or disable third-party integrations, manage permissions, retention and export settings, transfer or assign teams, share channels, or consolidate teams or channels with other teams or channels. Since these choices and instructions may result in the access, use, disclosure, modification or deletion of certain or all Customer Data, please review the applicable Platform or Services pages for more information about these choices and instructions.
In addition, the browser you use may provide you with the ability to control cookies or other types of local data storage. Your mobile device may provide you with choices around how and whether location or other data is collected and shared. AISense does not control these choices, or default settings, which are offered by makers of your browser or mobile device operating system.

We work hard to protect your information and take appropriate commercially reasonable physical, electronic, and other security measures to help safeguard personal information from unauthorized access, alteration, or disclosure. Our security practices include: encrypting many of our services using SSL; two-step verification for Account access; and frequent review of information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems.
We use Google Sign-in to ease the process of signing up for and logging into an Otter account. Users may optionally allow the Otter app to access calendars and contacts associated with their Google Accounts. With calendars access, the Otter app can send users timely reminders to record their upcoming meetings, and automatically name these recordings based on calendar event titles. With contacts access, the Otter app can simplify how users enter the recipients of shared notes, by allowing users to select from their existing contacts instead of requiring users to type out email addresses.
AISense reserves the right to change, modify, add, or remove portions of this Policy at any time and without prior notice, and any changes will become effective immediately upon being posted unless we advise you otherwise. However, we will not use your Personal Information or Customer Data in a way that is materially different than the uses described in this Policy without giving you an opportunity to opt out of such differing uses. Your continued use of the Platform or Services after this Policy has been amended shall be deemed to be your continued acceptance of the terms and conditions of the Policy, as amended.
